Privacy and visibility

Information we use

We store invited members’ names, email addresses, membership relationships, account credentials in hashed form, and the profile information and media they choose to submit. We also store connection requests, reports, account activity, and delivery records needed to operate and protect the Network. Cloudflare provides hosting and storage; Resend delivers account emails. We do not sell member information or use marketing trackers.

Scheduling requests

Requests store organizer contact details, participant names and emails, proposed times, availability, room information, and attendance responses to arrange sessions. The creator manages the request; participants see their own responses. Private response links grant access to one participant’s response and expire after 14 days or when revoked. Requests are not published in the directory. Archiving preserves the record and existing commitments; cancellation does not cancel an external booking. Contact the administrator for deletion of scheduling records under the deletion process below.

Your profile

Choose public, members-only or private visibility for individual profile fields and media. Edits are saved as a separate draft. Your live profile stays unchanged until you confirm publication of the reviewed revision. Public publication requires explicit consent. Public information may be copied or indexed by others.

Account controls

You can withdraw your profile, revoke sessions, export your authored records, and request account closure or deletion. Withdrawing removes the live profile from the directory; your private draft remains until you delete it or close the account. The administrator can access records needed for support, moderation, and operation.

Retention and deletion

Profiles remain until withdrawal or account closure. Deletion requests are reviewed within 30 days. Necessary safety records may be retained for up to 12 months. Published project credits and shared work may need separate review because they can document other contributors’ work. We will explain any records that remain when responding to your request.

Account emails

Invitations, password recovery, email verification, and relevant account reminders use the email address on your account. A public profile is optional. Joining the Network does not affect academic or employment status.
